FlexAvi · Roofing Services · Netherlands
One Employee. Four Projects. Zero Administrative Chaos.
Exclolab built a custom end-to-end operations automation platform for FlexAvi over 6 iterations across 12 months — doubling employee project capacity, recovering $5K–$15K/month in unpaid invoices, cutting survey-to-invoice time by 95%, and giving the business owner real-time visibility into every job, field worker, and payment for the first time.

The Situation Before
What the Client Came In With
"We lose track of which jobs have been invoiced and which haven't. We need something to manage our projects better."
FlexAvi is a roofing service provider managing end-to-end field operations — from on-site surveys through to invoicing and payment collection. Their entire operation ran on manual processes and disconnected tools. Surveys were done in one app, quotes built in another, jobs tracked on paper, invoices generated manually, and payment reminders depended on someone remembering. The business owner had no real-time picture of any job at any given moment. $5K–$15K/month in completed work was going uninvoiced.

The Approach
How Exclolab Worked
Discovery mapped the full service lifecycle across 6 planned iterations. The critical insight: surveys, quotes, contracts, job assignments, and invoices were all separate manual steps that needed to become one connected flow. We built a platform where the survey generates the quote, the quote generates the contract, job completion triggers the invoice, and the invoice triggers automated payment reminders — via Mollie, the primary Dutch payment gateway. React.js frontend built mobile-first for field workers.

The Results
What Changed
Employee project capacity increase
Faster survey-to-invoice flow
Reduction in unpaid invoices
FlexAvi's employees now handle up to 4 concurrent projects each — up from 1–2. The survey-to-invoice flow that previously took 3–5 hours of manual work happens automatically. $5K–$15K/month in previously uninvoiced completed work is now captured. The business owner sees every job, every field worker, and every payment in real time.
Client Voice
In Their Own Words
We were spending more time fixing administrative messes than actually fixing roofs. Unpaid invoices piled up, and our employees often forgot to send proper reports. It was frustrating and chaotic.
This system is a game changer — we no longer worry about missing payments, mismanaging projects, or forgetting customer follow-ups. Everything is organized and automated. We can now focus on growing our business instead of fixing admin problems.
We used to manually check which clients had unpaid invoices. Now, the system tracks it for us and sends reminders automatically. Our cash flow has improved, and our team works much more efficiently.

Work with Exclolab
Your Operation Might Have the Same Root Cause
FlexAvi wasn't short on jobs or skilled workers — the ceiling on how much they could do was the time it took to administer each job manually. If your service business is currently losing hours to quoting, invoicing, or chasing payments that should have been automatic, the first conversation with Exclolab isn't a pitch. It's the same mapping process FlexAvi went through: trace the full service journey, find every manual handoff that doesn't need to be manual, then build the system that removes it.
